Privacy policy
ProDashboard, published by FALI TECH ENGINEERING SARL
Last updated : October 9, 2026
This policy explains how FALI TECH ENGINEERING SARL collects, uses and protects personal data in connection with ProDashboard, its platform for managing cases, documents and workflows. It applies to the prodashboard.net website and to the ProDashboard platform.
It is drawn up in accordance with the Digital Code of the Republic of Benin (Law No. 2017-20 of April 20, 2018, amended by Law No. 2020-35 of January 6, 2021), in particular Book V on the protection of personal data. The French version prevails in case of discrepancy.
1. Who we are
ProDashboard is published by FALI TECH ENGINEERING SARL, a limited liability company under Beninese law.
- Registered office: Lot 236 Akpakpa Midombo, Maison IMAM Sourakatou, 01 BP 1643 Cotonou, Bénin
- RCCM: RB/COT/25 B 40907 | IFU: 3202544634214

We have not appointed a data protection officer. Requests about personal data are handled directly by the company's management.
2. Two different situations
Depending on the data, FALI TECH ENGINEERING SARL does not play the same role.
2.1 We are the controller
For the data we collect for our own business: user accounts, client organization accounts, subscriptions and payments, invoicing, prospecting, requests sent from our website, support, platform security and personal messaging. This policy describes these processing activities in detail (sections 3 to 6).
ProDashboard messaging is a personal service: conversations belong to the people taking part in them and do not depend on any organization. We are the controller for it.
2.2 We act on behalf of our clients (processor)
When an organization (company, public administration, NGO, firm) uses ProDashboard, it decides which data is entered in its workspace: its staff accounts, cases, documents, tasks, approvals, internal posts. That organization is the controller. FALI TECH ENGINEERING SARL processes this data only on its instructions, to provide the service, under our terms of use, which cover confidentiality and security.
If you are a staff member or a user of an organization that uses ProDashboard, please send your requests (access, correction, deletion) to that organization first. If you contact us directly, we will forward your request to the organization concerned and help it respond.

5. Who has access to your data
Data is accessible only to the people at FALI TECH ENGINEERING SARL who need it for their work (management, sales, technical support), within the limits of their duties. It may also be processed by our technical providers, who act on our instructions:
- Hosting of the application and database: virtual private server rented from a hosting provider located in Europe
- File storage: Cloudflare (R2 service)
- Business email and notification emails: Zoho Mail
- Payments: Mobile Money operators (MTN MoMo, Moov Money, Celtiis Cash) and your bank for transfers, which receive the information needed for the payment
- Sign-in with GitHub: GitHub, only if you choose this sign-in method
- Audience measurement: Google Analytics (Google), only if you accept it in the cookie banner
Within a client organization, workspace data is visible to its members according to the roles and rights set by the organization. In the messaging, messages and files are visible to the participants of the conversation.
Finally, we may disclose data to the authorities when the law requires it (court order, tax administration).
6. How long we keep it
| Data | Retention period |
|---|---|
| User account | Until it is deleted. You can delete your account from your profile; it is then erased immediately (see section 9). |
| Client account and contractual relationship | Term of the contract, then 3 years for evidence purposes |
| Accounting records and invoices | 10 years (OHADA accounting law) |
| Prospects with no follow-up | 3 years after the last contact |
| Support requests | Term of the contract, then 1 year |
| Sign-in sessions (IP address, browser) | Until sign-out or session expiry |
| Technical and security logs | 12 months |
| Messaging messages and files | Until deleted by their author |
| Blocks | Until unblocked or until one of the two accounts is deleted |
| Reports (including the message copy) | 1 year after they are handled |
| Audience measurement cookies | 13 months maximum |
| Data entered by a client in its workspace | Term of the contract; returned then deleted within 90 days after the end of the contract, backups included |
At the end of these periods, data is deleted or anonymized. When a user account is deleted, the messages it sent remain visible to the other participants of the conversations, without being linked to its name.
7. Where the data is hosted
The application and its database are hosted on a server located in Europe, and files are stored by Cloudflare. As these providers are located outside Benin, hosting involves a transfer of data outside the national territory. These transfers are carried out in accordance with the Digital Code, to providers bound by confidentiality and data security obligations.
For organizations that must keep their data in Benin, ProDashboard is also offered as an on-premise license, installed on the organization's own servers. In that case, the data stays with the client and FALI TECH ENGINEERING SARL only accesses it during authorized maintenance work.
8. How we protect data
We implement technical and organizational measures suited to the risks, including:
- encryption of exchanges between your browser and the platform (HTTPS);
- passwords stored in irreversible encrypted form (hashing);
- two-factor authentication available to all users;
- list of active sessions, with the ability to sign a device out remotely;
- roles and access rights set by each organization;
- separation of each client organization's data;
- files stored privately, only reachable through temporary links after access rights are checked;
- action log showing who did what and when;
- limits on the number of attempts to slow down automated attacks;
- confidentiality commitment for anyone working on the platform.
No system is infallible. In the event of a personal data breach, we notify the Personal Data Protection Authority (APDP) without delay when the law requires it, and we inform the client organizations concerned and, where necessary, the people concerned.
9. Your rights
Under the Digital Code, you have the following rights over your data:
- Information: to know which data is processed and why;
- Access: to obtain a copy of your data;
- Correction and update: to have inaccurate or incomplete data corrected;
- Erasure: to request the deletion of your data, unless a legal retention obligation applies;
- Restriction: to request a temporary freeze on the use of your data;
- Objection: to object to processing, and free of charge to commercial prospecting;
- Withdrawal of consent at any time, for processing based on it;
- Portability: to receive your data in a structured, commonly used format.
Some rights can be exercised directly in ProDashboard: editing your profile, managing your notification preferences, deleting your messages, deleting your account from your profile. An account that appears in the history of an approval circuit cannot be deleted this way, because the organization must be able to know who submitted and who approved; please write to us in that case.
To exercise your other rights, write to confidentialite@prodashboard.net or to the postal address in section 1, stating your request. We may ask you to prove your identity. We answer within the time limits set by law.
If you believe your rights are not respected, you can lodge a complaint with Benin's Personal Data Protection Authority (APDP) or bring the matter before the competent courts.
11. Artificial intelligence features
ProDashboard does not currently make any automated decision producing legal or similarly significant effects on people. When AI assistance features are offered, they will remain decision aids: the final decision will always belong to a human user. This policy will be updated before they go live to specify the data concerned and the providers used.
12. Minors
ProDashboard is a professional service intended for organizations. It is not designed for use by minors, and we do not knowingly collect data about them for our own purposes.
13. Changes to this policy
We may update this policy, in particular when ProDashboard or the regulations change. The date of the last update is shown at the top of the document. In the event of a significant change, we inform client organizations by email or by a message in the platform.
14. Contact us
